3. Categories of Personal Data Collected

 

3.1 Categories of Data Collected

 

When you use the Service, we may collect the following categories of data:

• C001 Personal identifiers, such as name, job title, email address, and user ID on an enterprise communication channel;

• C073 Security details, such as a password, only when you voluntarily enter it during Service activation to verify an enterprise communication platform account; see Section 3.3 below; and

• C132 Unclassified data, such as user feedback, conversation content, and files that cannot otherwise be categorized.

 

3.2 Automatically Collected Data

 

We collect activity records relating to your use of the Service and information about the devices you use to access it. When you browse or search within the Service, including its official website and administration console, the Service automatically records your IP address, operating system, device information, and browsing records. This information is used only for statistical analysis and service optimization and is not linked to a specific individual.

 

3.3 Enterprise Communication Channels and Third-Party Tools

 

The core functions of the Service are performed by AI employees through enterprise communication channels and third-party tools that you authorize. We may therefore process:

• Enterprise communication channels: Identifying information provided by the channel when your enterprise or organization uses the Service, such as an enterprise domain or organization code, enterprise name, and channel user ID, together with conversation content exchanged between you and the Service’s AI employee. In certain activation methods, you or an enterprise administrator may enter the channel account and password for one-time verification. Passwords are encrypted during transmission and temporary storage and are not retained in plaintext after verification.

• Email services, such as Gmail: After your explicit authorization, email content may be read to produce summaries, task lists, or work briefings; drafts may also be prepared or emails sent at your direction.

• Document collaboration tools, such as Notion: After your explicit authorization, pages and databases may be read, created, or updated according to your instructions.

The foregoing data may contain personal data relating to you and other people with whom you communicate or collaborate, such as email correspondents and document collaborators. We process such data only on user instructions to complete assigned tasks and do not use it to develop, improve, or train general-purpose AI or machine-learning models unrelated to your use case.

Some authorization links to third-party accounts are completed through third-party technology providers, such as Pipedream. Your third-party login credentials, such as OAuth tokens, are held by that intermediary. The Service retains only a reference to access the credential and does not store it in plaintext in the Service’s primary database.

 

3.4 Data You Provide to JTCG

 

• Your name, email address, company name, and other information entered in a contact form;

• Information provided when communicating with our customer service; and

• Information provided when participating in online events or surveys organized by us.

 

4. Retention Period, Geographic Region, Recipients, and Methods of Use

 

4.1 Retention Period

 

JTCG retains your personal data during the period of operation. Unless otherwise required by law, the retention period ends when the Service terminates, you request that use cease, or you or an administrator of your enterprise uninstalls the Service from the enterprise communication platform. Upon such uninstallation, we will delete user data retained under that enterprise tenant, such as conversation records, memory files, and references to third-party account credentials, except for billing or usage records that must be retained by law or for accounting or audit purposes.

 

4.2 Geographic Region

 

The primary region of use is Taiwan. If cross-border transfer of personal data is required, JTCG will comply with this Policy, the Personal Data Protection Act, and applicable data-protection requirements in the destination region.

Data is primarily stored through Amazon Web Services (AWS), with data centers located in Asia.

 

4.3 Recipients

 

Unless otherwise provided by law or this Policy, JTCG uses your personal data within the scope of the Service purposes to which you have agreed and to improve and enhance the Service. JTCG will not arbitrarily provide your personal data to third parties or use it for other purposes.

 

4.4 Methods of Use

 

In addition to use for the specific purposes described above, your personal data may be used as follows:

• Providing the Service: Reading, organizing, and producing work results at your direction, such as email summaries, briefings, and document drafts, and carrying out actions after obtaining confirmation when needed;

• Statistics and analysis: Producing internal service-usage reports and improving service quality;

• Marketing and services: Sending service notifications or using your information when you contact us and request a response; and

• Legal or governmental requirements: Providing relevant information as required by law or a government authority.

 

5. Personal Data Security

 

JTCG will adopt appropriate security measures and use reasonable technical and organizational measures in accordance with applicable laws to prevent your personal data from being stolen, altered, damaged, lost, disclosed, or otherwise used in a way that harms your rights and interests.

Measures include, without limitation:

• OAuth 2.0 or official authentication mechanisms provided by third-party platforms, such as Service Account/JWT issuance, for API access;

• Referencing third-party credentials through identifiers and storing them in a dedicated key-management service rather than in plaintext in the primary database;

• Encryption of data in transit using TLS/SSL;

• Strict access controls; and

• Regular security reviews and monitoring.

 

6. Rights Regarding Personal Data and How to Exercise Them

 

6.1 Rights You May Exercise

 

You may exercise the following rights regarding your personal data by contacting JTCG:

• Request an inquiry or review;

• Request copies;

• Request supplementation or correction;

• Request cessation of collection, processing, or use;

• Request deletion; and

• Withdraw consent: You may withdraw consent to the collection, processing, and use of personal data at any time. After withdrawal, we will stop processing based on that consent and delete personal data collected on that basis, except for records that must be retained by law or for accounting or audit purposes. Processing completed before withdrawal is not affected.

To disconnect the Service from a particular enterprise communication platform or third-party tool, or to withdraw consent for a particular connection, you may use that platform’s disconnection mechanism or request assistance through the email address above.

 

7. Use of Cookies

 

To provide the best possible service, this website may place and access Cookies on your computer. If you do not wish to accept Cookies, you may set your browser privacy level to high to refuse them. Some website functions may not operate properly as a result.

 

8. Impact of Not Providing Personal Data

 

You may decide whether to provide personal data and how complete the information will be. However, if you refuse to provide relevant personal data or fail to provide accurate and complete information, JTCG may be unable to perform certain business operations, and you may be unable to use all or part of the Service, such as functions requiring authorization to access an enterprise communication platform or third-party tool.

1. Except as otherwise provided in this Policy, JTCG will not provide your personal data to third parties.

2. JTCG uses trusted third-party companies and technology services, including cloud hosting providers, third-party authorization intermediaries such as Pipedream, and data-storage and management services, to help provide, analyze, and improve the Service. These parties may access your information only as necessary to perform services on our behalf and must maintain protections equivalent to those in this Policy.

3. We may review your personal data and provide it to relevant government authorities or third parties asserting that their rights have been infringed and presenting reasonable evidence when:

   • You have given prior consent;

   • Required by law or by an order or request from a judicial or government authority;

   • Necessary to enforce this Policy or where you have violated this Policy or may infringe a third party’s rights;

   • Necessary to protect the lawful rights and interests of other Service users or third parties;
